Job Overview:
The Young Learners Receptionist serves as the first point of contact for parents, visitors, and students at the Young Learners program. This role involves providing excellent customer service, managing inquiries, and ensuring a welcoming and organized front desk environment. The Young Learners Receptionist plays a crucial role in creating a positive first impression and supporting the smooth operation of daily activities.
Key Responsibilities:
1. **Front Desk Management:**
- Greet parents, visitors, and students in a friendly and welcoming manner.
- Answer phone calls, take messages, and respond to inquiries promptly.
- Maintain a tidy and organized front desk area.
2. **Visitor Coordination:**
- Manage visitor sign-in and sign-out procedures, ensuring security and compliance with safety protocols.
- Provide information and directions to visitors as needed.
3. **Communication:**
- Effectively communicate with parents regarding announcements, schedules, and general information.
- Assist in distributing and collecting forms, permissions, and other necessary documents.
4. **Appointment Scheduling:**
- Schedule and coordinate appointments for parents, teachers, and other staff members.
- Update and maintain appointment calendars.
5. **Student Support:**
- Assist with student check-in and check-out procedures.
- Collaborate with teachers and staff to address students' needs and concerns.
6. **Administrative Tasks:**
- Perform basic administrative duties, such as filing, photocopying, and data entry.
- Assist in maintaining accurate and up-to-date student records.
7. **Emergency Response:**
- Follow established procedures in the event of emergencies, including contacting parents and relevant authorities.
8. **Customer Service:**
- Provide exceptional customer service to parents and visitors, addressing inquiries and concerns with professionalism and courtesy.
Qualifications:
- High school diploma or equivalent; additional education or training in administration is a plus.
- Previous experience in a receptionist or customer service role, preferably in an educational setting.
- Excellent communication and interpersonal skills.
- Strong organizational abilities and attention to detail.
- Proficient in using office equipment, including phones and computers.
- Ability to handle confidential information with discretion.
- Friendly and approachable demeanor.
