Under the direct supervision of the Fleet Officer, the incumbent will perform the following duties:
Receive and process passengers and cargo booking forms from eligible agencies
Manage UNHAS Mail box by responding to queries.
Enter bookings into Booking Software.
Provide flight information, flight confirmation, via e-mail/phone to the concerned agencies.
Communicate with the agencies regarding the UNHAS procedures and update them accordingly on new procedures.
Distribute the WFP AFO tickets one day before the flight to the passengers and confirm the flight reporting and departure times.
Disseminate information of cargo bookings and advise relative agencies.
Prepare the airport manifest and give complete information about the passengers’ flying status to WFP AFO staff to the checking desk at the airport.
Receive the airport checking manifests and updating the office database, specifying no-shows and cancellations.
Prepare monthly, quarterly and request flight reports for the Air Operation Officers.
Perform other relevant duties assigned by the supervisor.
General Requirements:
Education: Completion of Secondary school education.
Experience: Four or more years of progressively responsible work experience in the relative business stream with experiences in general administrative work.
Knowledge & Skills:
Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
Knowledge of work routines and methods in order to complete process under minimal supervision.
Uses the tack and courtesy to give and receive information to a wide range of individuals.
Ability to identify data discrepancies and rectify problems requiring attention.
Ability to offer guidance or basic on-the-job training to more junior staff.
Language: Fluency in both oral and written communication in the UN language in use at the duty station and in the duty station’s language, if different.
