Position Overview:
The Assistant, Girls’ Education Program (GEPAst) will be responsible for logistics support, procurement of program materials and database management. This position is required to travel frequently to project sites. This position requires skills in negotiating, planning and managing procurement and distribution, riding motorcycles etc. The GEPAst will report to Officer, Girls' Education Program (GEPO) and coordinate regularly with Account and Finance Associate (AFA).
Duties & Responsibilities:
The position will require performing the below given job responsibilities not limited to:
Logistic Support:
Provides logistical planning and support by securing venue/accommodation, arranging for meals and transportation, inviting attendees, providing materials for:
a. Orientation and training i.e. SMs Teachers etc
b. Program meetings at Field Office (FO)
c. Activities involving parents, community leaders, school officials and/or government officials
d. Community-wide awareness event each year to mobilize support for girls’ education and gender equality
e. Life skill camps,
f. Exposure visits
g. Alumnae meet up
h. Any other activities that may require major logistical support
Procurement and Distribution:
Collects requirements of materials to be purchased from GEPAs. Finalize it in consultation and agreement with GEPO in each quarter or as necessary.
Coordinates with AFA and follows RtR’s procurement process and policy in purchasing the required program materials for :
a. Materials for girls; as per the packages
b. Materials for all LSE sessions, group mentoring sessions, parents workshops c. Materials for all trainings and meetings
d. Any other activity requiring major material support
Delivers and distributes (quarterly or as necessary) materials in clusters for all program activities in coordination with GEPO and respective GEPA.
Delivers and distributes (quarterly or as necessary) packages under Material Support to schools in coordination with respective GEPA and SM.
Collects all the documents and invoices, and prepares expenditure settlement document as per RtR’s settlement process in coordination with AFA.
Monitoring, reporting and documentation:
Collects the project and indicator data of GEP participants from SMs in prescribed methods and schedules, provides them to GEPO, and enters the verified data into RtR’s database.
Collects Program Implementation Monitoring (PIM) data of GEP participants and activities from GEPAs, conduct project site visits to verify data, compiles the PIM data, and provides to GEPO.
In consultation with GEPO, collaborates with RtR’s Research, Monitoring, and Evaluation (RM&E) team to collect and enter other regular program monitoring data into RtR’s database, as needed.
Collects, updates, and maintains GEP alumnae contact information in RtR’s database. This may require working closely with SMs to outreach to alumnae.
Collects completed GEP alumnae information surveys from Associates, Girls’ Education Program (GEPA) and SMs, and enter the information in RtR’s database after providing due information to GEPO.
Collects all necessary documents and invoices of program activities from GEPO, GEPAs and SMs and complete the settlement and reimbursement.
Participates in regular weekly 1-on-1 meetings with supervisor.
Other:
Maintains up-to-date logistical database to manage/track effective logistical support, procurement with compliance, and timely distribution.
Attends regular country/field staff trainings and review meetings as planned.
Other reasonable duties as assigned that may be required to fulfill the objectives of the organization.
Qualifications:
Required:
Bachelor’s degree in Management or relevant fields
2 years of professional working experience with school students
Have sound knowledge of management, procurement , administrative and logistic processes
Experience in managing high volume data with accuracy.
Good negotiation skills in dealing with vendors and suppliers
Good command over Nepali (spoken and written) language
Comfortable using Windows Office Package
Ability and willingness to travel frequently to project sites
Must have 2-wheeler license
Preferred:
Master’s degree in Management or relevant field
Understanding and having the ability to speak local language
Prior experience working in similar program
Good command over English language (spoken and written)
