ACCOUNTS AND ADMINISTRATION MANAGER: 1 (based in Kathmandu valley)
Age: 30 to 45 years
NGF seeks Accounts and Administration Manager with strong nonprofit financial management and reporting skills to join its team. The position manages and implements all dayâ€toâ€day finance and operational functions, leads the annual budget and audit processes, conducts financial analysis, and works with outside auditors under NGF policies and procedures. The Accounts and Administration Manager will play a critical role in financial analysis, management and control over local partner NGOs and NGF's internal financial aspects. This position will also work closely with Executive Director of NGF in budgetary tasks, strategic decision making and operations as NGF continues to expand its services within its regular and new sectors. Responsibilities:
Accounts
• Plan, develop, organize, implement, direct and evaluate the organization's fiscal functions and performance.
• Analyze and present financial reports in an accurate and timely manner to senior management and NGF Board; clearly communicate monthly and annual financial statements;
• Collate financial reporting materials for all donor segments, including government reporting, and provide all financial, project/program and grants accounting.
• Perform inâ€house routine accounting activities including expense recommendations, wire transfers, receivables and cash receipts processing.
• Guide Account Supervisor to manage social contribution received from GoodWeave’s licensees and monitor associated accounts payable/receivable.
• Evaluate all grant awards and review all terms and conditions to ensure compliance with accounting standards and Nepal Government's related policies and guidelines.
• Prepare and/or review budgets and other financial deliverables, reports and invoices for submission to governmental and other donors.
• Lead the annual audit process, liaise with external auditors and assess any changes necessary.
• Oversee annual budget process in conjunction with the ED.
• Financial management and control.
• Recommendation for payments as per NGF budget, rules and regulations.
Administration
• Manage vendor relationships, contracts and records.
• General administration of the office affairs, and procurement in consultation with the Executive Director.
• Manage the information technology requirements of the office, serving as the liaison with an
outside IT consultant and tracking equipment and software inventory and purchases.
• Oversee Administration Assistant to facilitate procurement, maintenance and inventory of offices supplies and equipment.
• Ensure timely update and filing of organization registrations, reports, and payments.
• Coordinate legal functions across the organization, including governance, contracts, and mitigation of liability.
• Establish policies and procedures to ensure internal control and organizational consistency.
• Ensure that logistics of all activities of implemented projects of NGF are in track; lead and mobilize the human resources for the logistic management of all activities of NGF.
Qualifications and Experience:
• Minimum Master's Degree in management from recognized university preferably Finance, Accounting and Business Administration.
• Minimum 5 years’ relevant work experience, preferably in management level in accounting department or other financial environment with nonprofit or similar organization of similar size.
• Knowledge of general procurement and contracting systems, policies and procedures.
• Knowledge of government tax and other regulatory systems for grant management and their respective impacts on nonprofit financial and operation management.
• Working knowledge of accounting, budgeting and donor based project's financial reporting.
• Familiarity with risk management concepts including risk assessments, subâ€recipient monitoring and internal controls.
• Detail oriented with a demonstrated focus on accuracy. Excellent analytical skills.
• High comfort level with accounting software. Experience with Tataâ€eX software is preferred.
• High proficiency with MS Excel and PowerPoint.
• Good interpersonal communications, negotiation and influencing skills, computer proficiency & good in written and spoken English and Nepali languages.
